Optional blog and scholarship advertising

If you choose to allow advertising, eligible public blog and scholarship pages may load Google AdSense and its consent message. Google and its ad partners receive technical information, such as your IP address, browser details and the public page being viewed, to deliver and measure ads and prevent fraud. We request non-personalised ads, but these can still use cookies. Google’s consent message explains its partners and purposes where applicable.

Advertising consent is separate from analytics consent and does not affect your account or calculations. We do not use private grades, course names, account details or funding-filter selections for ad targeting. Private workspaces and calculators do not carry ads. Use Cookie settings to withdraw your advertising choice, and see our advertising and storage explanation and Google’s partner-site privacy information.

Your planner and purchases

When you save a planner, we store your courses, assessment marks and weights, targets, due dates, study sessions and reflections with your account. Copying an existing grade workbook into the planner is an explicit choice. Planner records are private to the account owner and are not sent to analytics or Stripe.

If you purchase the planner, Stripe receives the contact, payment and billing information needed for checkout, payment security and any applicable tax calculation. We store purchase and subscription references, billing interval, paid periods, amounts, currency and payment/access status. We do not receive or store your full card number or security code. If you enable offline access, a copy of your planner is stored in this browser on this device. Offline edits stay there until you review and save them online. Remove the device copy from Offline access or sign out on a shared device. Downloaded spreadsheets are separate files you control.

A successful new-account purchase creates an unverified Effikos account and a temporary planner session. The password-setup email confirms ownership of your email address. Purchasing does not subscribe you to marketing. You can download your planner or clear its contents and save the empty plan. Account deletion removes the stored planner; payment-provider records may remain under the provider’s own retention rules.

We are responsible for the personal information described in this notice. Contact us at hello@effikos.com about your information. This website notice does not describe every historical version of the Effiko mobile app. For a legacy-app request, identify that app when you contact us.

Calculate without an account

Calculations run in your browser. We do not send marks, course names or private workbook contents to analytics or include them in public URLs. Choosing “Save on this device” stores a draft in that browser. Choosing to sign in or register from a calculation also stores a temporary handoff there so you can resume. Browser storage remains on that device until it is cleared; it is not an account backup.

Accounts and saved workbooks

Account information includes your name, email address, optional profile photo, authentication records and sessions. You can update your display name and replace or remove your photo on the Profile page. Passwords are stored as hashes, not plain text. If you choose Google or Apple sign-in, we receive the profile and identifier needed to establish your account; the provider handles its own sign-in process.

When you explicitly save to your account, we store the title, entered grades and credits, year/semester structure where used, calculated results and the calculation-rule version. Earlier revisions remain so you can review changes. Records are scoped to your authenticated account. The administrator dashboard does not expose private grade contents.

Security, cookies and service providers

Essential session cookies keep you signed in. Authentication and security records may include IP addresses, browser information and rate-limit data. Hostinger provides the dedicated database. Brevo delivers our transactional emails and, only with your explicit permission, marketing emails. Vercel hosts the rebuilt website, with application functions configured in London. Cloudinary delivers public website images and receives the technical request information needed to serve them, such as your IP address and browser headers. If you choose to upload a profile photo, Cloudinary also stores that image. We resize it and remove embedded metadata before storage. Profiles are not publicly listed, but anyone with the image URL can view the photo. Replacement or removal requests delete the previous uploaded photo from storage; cached copies may take time to clear. Private grades, email addresses and authentication records are not uploaded to Cloudinary.

Google reCAPTCHA protects submitted forms outside local development. It processes browser/device information under Google’s Privacy Policy and Terms. Calculator inputs are not included in our CAPTCHA verification payload. Google and Apple receive information when you use their sign-in services. Our providers operate internationally, so service delivery or support may involve processing outside the UK. Their applicable data-processing terms describe transfer safeguards, including contractual protections where required. Contact us for information about the arrangements relevant to your data. Google Analytics is optional. After you accept analytics cookies, it measures public-page visits, engagement and interactions using technical browser/device information and approximate location. Account, administrator and authentication pages are excluded. We do not send private grades, course names or account identifiers to Analytics. You can refuse or withdraw analytics through Cookie settings on every page. No advertising integration is enabled.

Why information is used

We process account and workbook information to perform our agreement to provide the services you request. We process security records and support correspondence for our legitimate interests in protecting the service, preventing misuse and resolving requests. Where a legal obligation applies, we process the information needed to meet it. Optional features that need consent will explain that choice separately, and you can withdraw that consent. You can calculate without supplying account details, but we need an email address and authentication information to provide an account. Scholarship research must use public provider information, not private student grades or account data. We do not use scholarship listings to make admissions or award decisions about you.

Keeping and deleting information

Saved workbooks and their revisions remain available until you delete them or delete your account. Deleting a workbook removes its stored revisions from the active database. Account deletion removes the associated personal credentials, sessions and workbooks; a separate administrator identity, if one exists, is independent. Encrypted daily database backups are retained for 30 days on our server. A deletion may therefore remain in a restricted recovery copy until that copy expires. Recovery copies are used for restoration, not ordinary account access. If we restore a backup, we must reapply subsequent deletion requests before reopening access. Separately held recovery copies are subject to the same retention limit.

We retain security and administrator audit records while needed to investigate misuse, protect accounts or establish the history of an unresolved incident. We retain support correspondence while needed to resolve your request and related disputes. These records are reviewed for continuing need; information subject to a legal preservation requirement is restricted until that requirement ends.

Your choices and requests

Use your account to export or delete workbooks. You can correct grades by saving a new revision, revoke sessions, and delete your personal account. For other access, correction, erasure, portability, restriction or objection requests, contact us. Your rights depend on the law that applies. You may complain to the UK Information Commissioner’s Office at ico.org.uk, or the authority in your country. We may verify your identity before releasing or changing personal information.

Optional email updates

You can request Effikos marketing emails without creating an account. We store your name, email address, the consent wording and version, request and confirmation times, subscription state and delivery-sync status. We send a confirmation link before adding a public signup to our marketing audience. Email addresses and confirmation links are not sent to Analytics.

You may optionally tell us your role, education stage, interests, study destinations, residence, citizenship and study timeline, and choose an email frequency. We use the choices you provide to select relevant marketing emails and record which campaign audiences matched them. We do not use your grades or infer financial circumstances for marketing. These choices do not determine scholarship eligibility or replace Effikos Scholar research. You can change them in account Settings or through a secure link at /updates/preferences.

If you later verify an Effikos account using the same email address, we carry across your existing email preference so you do not need to opt in again. Registration and paid membership alone are not permission to send marketing. You can unsubscribe through any marketing email or account Settings. We preserve provider delivery restrictions and consent/withdrawal records to respect your choice. For deletion or access requests without an account, contact hello@effikos.com.

Updates

We will update this notice when the service or its processing changes. New optional processing will not be hidden inside calculator use. Contact us if you need clarification about a change or how it affects your information.
